This Privacy Policy applies only to our online activities and is valid for visitors to our website with regards to the information that they shared and/or collect with SoundVision. This policy is not applicable to any information collected offline or via channels other than this website.

Consent

By using our website, you hereby consent to our Privacy Policy and agree to its terms.

What we collect

We only collect what you choose to send us and a few details about how you reached our site. We do not sell, rent, or trade your information, and we do not share it for advertising.

Contact forms

When you send us a message, we receive what you enter: usually your name, email, phone number, the kind of project, and your message. We use it to reply to you and to plan your project. We do not use it to re-market to you.

Along with a contact form or newsletter sign-up, we also save your browser’s identification text (the user agent: browser, version, and device type), a one-way scrambled (hashed) form of your IP address rather than the address itself, and the result of the bot check. We use them to catch spam and abuse and to limit repeated submissions.

Newsletter

If you sign up for our newsletter, we use your name and email only to send it to you. You can unsubscribe from any newsletter email.

How you found us

When you visit our website, we note how you arrived: the domain of the website or app that sent you here, any campaign tags in the link you followed, and the page you first landed on, along with how many times you have visited and how many pages you have viewed. During a visit we also note which pages you open and roughly how long you stay on each. This is kept in your browser’s local storage for up to 90 days. If you send us a form, including a job application, how you found us is sent with it so we know which websites lead people to us; a contact form or newsletter sign-up also includes the pages of that visit, so we know what people read before reaching out. We count visits from each source, and taps on our phone number, email, address, reviews, social pages and contact buttons, only as daily totals.

Google Analytics

We use Google Analytics to understand how people use our website as a whole: which pages are viewed, how visitors move between them, and which links and buttons they use. Google Analytics sets its own cookies to recognize a returning browser. We have turned off Google’s advertising features (Google signals and ad personalization), so this data is not used for advertising. If you visit svsf.com from the European Union, the European Economic Area, the United Kingdom, or Switzerland, we ask first: Google Analytics and the browser storage described above stay off until you choose Accept on the banner, and nothing is set if you choose Decline. You can opt out at any time with Google’s browser add-on.

Spam and bot protection

Our forms use Cloudflare Turnstile to tell people from bots. Turnstile checks your browser when you submit and does not use cookies. SoundVision does not receive the information Turnstile uses for that check.

Videos

Videos on our site are YouTube’s privacy-enhanced embeds. Nothing loads from YouTube until you press play; once you do, YouTube’s privacy policy applies to that video.

Contact cards, shared galleries and tutorials

We use analytical tools that help us determine the effectiveness of sharing resources that extend our core services, including staff contact cards, shared gallery links, and our public tutorials. They show us which of these pages are opened and what is useful, and they help us find and fix errors. We do not use them for advertising, and we do not combine them with what you send us through our forms.

• Contact cards. When you open a staff member’s contact card, or call, text, email, get directions, or save the contact, we record that action, whether you arrived by QR code or link, your device type (for example iPhone or Android), and a random ID saved in your browser so we can count how many different devices use our cards. We do not record your name or IP address. We keep these counts so we can see results over time.
• Shared galleries. We count how many times each shared gallery link is opened and when it was last opened.
• Tutorials. For each tutorial we count how often it is opened, played, watched to the end, and shared, how much of a video people watch, and which website or campaign link sent them. These are daily totals.
• Product analytics. On these pages we also use PostHog, a service that runs on our behalf, to see which pages are opened and to find errors. If something fails, it can upload a replay of that visit, with anything typed into form fields hidden, so we can see what went wrong. PostHog saves an anonymous ID in a cookie or your browser’s storage. It is not used for advertising, and it is not linked to your name.

Job applications

When you apply for a job, we receive your answers, your contact details, and any résumé or files you upload. We store your email and phone number encrypted. To prevent duplicate and fraudulent applications, we also record technical details of your submission: your device type, browser, and screen size, a random ID saved in your browser, and a one-way scrambled (hashed) form of your IP address, not the address itself.

Some roles have minimum requirements. If an answer shows a requirement isn’t met, the application is declined automatically by a fixed rule, and we may email you to let you know. No AI is involved in that check. Some answers end the application before it is sent; in that case nothing is saved.

Everyone else’s application is reviewed by a person at SoundVision, who makes every hiring decision.

How we use AI

We use AI in two narrow places, both run through service providers listed below.

• Screening contact forms for spam. The text of your message and the options you picked are checked by an AI model so junk mail and sales pitches don’t bury real requests. Your name, email, and phone number are not sent. If the check is unsure or fails, your message comes to us as usual, and messages it flags are kept for us to review.
• Summarizing job applications. An AI model reads your answers and any résumé you upload and writes a short summary for the person reviewing your application. It does not score, rank, or decide anything. Your name, email, phone, and address answers are left out, though your résumé is sent as you uploaded it.

Our AI providers process this information only to return a result to us. Under their API terms they do not use it to train their models.

How we use your information

We use the information we collect to:

• Reply to you, and plan and deliver the work you ask us about
• Consider your job application
• Send you our newsletter, if you signed up for it
• Understand which websites lead people to us
• Find and prevent spam and fraud
• Provide, operate, and improve our website

Service providers

We use a few companies to run our website and handle what you send us. Each processes your information only on our behalf, to provide its service to us:

• Cloudflare — spam and bot protection on our forms (Turnstile)
• OpenAI, through OpenRouter — spam screening of contact-form messages
• Anthropic — summaries of job applications
• Brevo — delivering our emails, including the notifications we get when you send a form
• Google Cloud — storage for uploaded files from job applications and other forms
• Google Analytics — website usage statistics, with advertising features turned off
• PostHog — product analytics and error replays on our contact cards, shared galleries and tutorials

Sharing information with these providers is not a sale of your information, and they may not use it for their own purposes.

Cookies and browser storage

Our website does not use advertising cookies, and no ad networks or tracking pixels run on it. Google Analytics sets analytics cookies, as described above (in Europe, only if you accept). Our shared pages (contact cards, galleries and tutorials) use PostHog’s anonymous ID, described above. The only cookie we set ourselves is a sign-in cookie.

We keep a few small items in your browser’s storage (in Europe, the first item only if you accept):

• How you found us and the pages of your current visit, as described above, for up to 90 days
• A random ID created when you open a job application, used to prevent duplicate and fraudulent applications
• A note that you closed our chat prompt, so it doesn’t reappear during the same visit
• Your Accept or Decline choice on the analytics banner, if you saw it
• A random ID created when you use a SoundVision contact card, used to count how many different devices use our cards
• An anonymous ID from our product analytics tool (PostHog), on our shared pages

You can clear these at any time in your browser settings. The website works without them.

Log files

Like most websites, our servers keep standard log files of requests, which include internet protocol (IP) addresses, browser type, date and time, and the page requested. We use them to run and secure the site, and we do not combine them with what you send us through our forms.

California privacy rights

If you live in California, including if you apply for a job with us, you have the right to:

• Know what personal information we have collected about you and how we use it
• Request a copy of that information
• Ask us to correct information that is inaccurate
• Ask us to delete your information, subject to legal exceptions
• Opt out of the sale or sharing of your information. We do not sell or share personal information, so there is nothing to opt out of.
• Not be treated differently for using any of these rights

GDPR Data Protection Rights

GDPR Protection is extended to visitors that reside in the European Union. SoundVision is not required to keep records of our personal data processing due to our company structure and the nature of the information processed. For those applicable for GDPR protection, you are entitled to the following:

The right to access — You have the right to request copies of your personal data. We may charge you a small fee for this service.

The right to rectification — You have the right to request that we correct any information you believe is inaccurate. You also have the right to request that we complete the information you believe is incomplete.

The right to erasure — You have the right to request that we erase your personal data, under certain conditions.

The right to restrict processing — You have the right to request that we restrict the processing of your personal data, under certain conditions.

The right to object to processing — You have the right to object to our processing of your personal data, under certain conditions.

The right to data portability — You have the right to request that we transfer the data that we have collected to another organization, or directly to you, under certain conditions.

Children’s Information

Another part of our priority is adding protection for children while using the internet. We encourage parents and guardians to observe, participate in, and/or monitor and guide their online activity.

SoundVision does not knowingly collect any Personal Identifiable Information from children under the age of 13. If you think that your child provided this kind of information on our website, we strongly encourage you to contact us immediately and we will do our best efforts to promptly remove such information from our records.

SoundVision App Specific Privacy Policy

Privacy and Security Disclosure

The SoundVision app is made and designed completely in house with privacy and security at the forefront of the Service’s architecture to the best of our ability. Some of the practices we use include, but are not limited to:

• Using random identifiers with partners so that, in limited instances when 3rd party services are required for functionality, your identity remains masked.
• Retaining minimal data on you. In most instances, where additional data is needed, we designed the architecture to keep that additional data encrypted on your device. This means we never see it!
• Using state-of-the-art encryption methods for hot-state data for the limited identifiable information we do keep to retain core functionality. This is on top of existing cold-state encryption.
• We don’t sell any data pertaining to anything that happens within Service to any external parties. Period.

Interpretation and Definitions

Interpretation

The words of which the initial letter is capitalized have meanings defined under the following conditions. The following definitions shall have the same meaning regardless of whether they appear in singular or in plural.

Definitions

For the purposes of this Privacy Policy:

• Account means a unique account created for You to access our Service or parts of our Service.
• Affiliate means an entity that controls, is controlled by or is under common control with a party, where “control” means ownership of 50% or more of the shares, equity interest or other securities entitled to vote for election of directors or other managing authority.
• Application refers to SoundVision, the software program provided by the Company.

• Device means any device that can access the Service such as a computer, a cellphone or a digital tablet.

• Service refers to the Application.

It refers to third-party companies or individuals employed by the Company to facilitate the Service, to provide the Service on behalf of the Company, to perform services related to the Service or to assist the Company in analyzing how the Service is used.
• Usage Data refers to data collected automatically, either generated by the use of the Service or from the Service infrastructure itself (for example, the duration of a page visit).
• You means the individual accessing or using the Service, or the company, or other legal entity on behalf of which such individual is accessing or using the Service, as applicable.

Collecting and Using Your Personal Data

Types of Data Collected

Personal Data. While using Our Service, We may ask You to provide Us with certain personally identifiable information that can be used to contact or identify You. Personally identifiable information may include, but is not limited to:

• Email address
• First name and last name

• Address, State, Province, ZIP/Postal code, City
• Usage Data

Usage Data. Usage Data is collected automatically when using the Service.

Usage Data may include information such as Your Device’s Internet Protocol address (e.g. IP address), browser type, browser version, the pages of our Service that You visit, the time and date of Your visit, the time spent on those pages, unique device identifiers and other diagnostic data.

When You access the Service by or through a mobile device, We may collect certain information automatically, including, but not limited to, the type of mobile device You use, Your mobile device unique ID, the IP address of Your mobile device, Your mobile operating system, the type of mobile Internet browser You use, unique device identifiers and other diagnostic data.

We may also collect information that Your browser sends whenever You visit our Service or when You access the Service by or through a mobile device.

Use of Your Personal Data

The Company may use Personal Data for the following purposes:

• For other purposes: We may use Your information for other purposes, such as data analysis, identifying usage trends, determining the effectiveness of our promotional campaigns and to evaluate and improve our Service, products, services, marketing and your experience.

• With Service Providers: We may share Your personal information with Service Providers to monitor and analyze the use of our Service, to contact You.

The Company will retain Your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use Your Personal Data to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.

The Company will also retain Usage Data for internal analysis purposes. Usage Data is generally retained for a shorter period of time, except when this data is used to strengthen the security or to improve the functionality of Our Service, or We are legally obligated to retain this data for longer time periods.

Your information, including Personal Data, is processed at the Company’s operating offices and in any other places where the parties involved in the processing are located. Delete Your Personal Data

You have the right to delete or request that We assist in deleting the Personal Data that We have collected about You.

Our Service may give You the ability to delete certain information about You from within the Service.

You may update, amend, or delete Your information at any time by signing in to Your Account, if you have one, and visiting the account settings section that allows you to manage Your personal information. You may also contact Us to request access to, correct, or delete any personal information that You have provided to Us.

Please note, however, that We may need to retain certain information when we have a legal obligation or lawful basis to do so.

Disclosure of Your Personal Data

Business Transactions. If the Company is involved in a merger, acquisition or asset sale, Your Personal Data may be transferred. We will provide notice before Your Personal Data is transferred and becomes subject to a different Privacy Policy.

Data Security and Privacy with The SoundVision App

SoundVision takes your privacy seriously. All information is encrypted in a cold state, and sensitive information uses state-of-the-art modern encryption techniques to protect your data in hot-state. Data is regularly re-encrypted with new keys and requires authorization from multiple services for decryption. Data in-transit is encrypted with HTTPS. Sensitive information is not directly linked to you when stored on our servers to minimize the risks to you.

SoundVision also practices security through obscurity. While we hope the information provided is sufficient to instill trust in our methods and practices to secure your information, we believe this is as much detail as we can provide without also inadvertently compromising our security practices to bad actors.

The information collected through the app is not sold, leased, or shared with any third parties outside of SoundVision. No one outside SoundVision has access to the information collected through the app.

When using tools by SoundVision to diagnose products from other services that require their credentials, authentication details are handled exclusively on your device and never transmitted to or stored on SoundVision servers. Only the diagnostic results are temporarily transmitted to SoundVision staff for real-time analysis of potential issues.

Consent for App Usage

By using the SoundVision app, you consent to the collection and use of the information as described in this App-Specific Privacy Policy section. If you do not agree with the terms outlined here, please refrain from using the app.

Changes to the App Privacy Policy

Any changes to the App-Specific Privacy Policy will be communicated through updates to this document or in-app notifications. We encourage users to review the policy regularly for any changes.
